The practice of exchanging business cards in Japan, also known as “Meishi” in Japanese language is considered as a very important aspect of Japanese business manner. In Japanese business world, realistically business cannot take place until the meishi have been exchanged with the utmost respect among the business partners. Exchanging meishi is considered the corner stone in establishing a relationship in the Japanese business society. It establishes a person’s station and status in Japan’s intensely hierarchical culture. Not having a business card means, in a very fundamental way that you simply do not exist.
First, use both hands when presenting your business card to your business partner. Preferably, you may say “Hajimemashite” while presenting your meishi. Ideally your card should be printed on both sides – Japanese on one, English on the other. When you are presenting your card to your Japanese business partner make sure to present the Japanese language side as facing up.
Second, try bow as long and as low as possible – being foreign national, young/relatively less experienced, female, and/or unaffiliated with a corporation means you must bow very, very low.
Third, you receive a business card in the same way, but you should bow even longer and lower than you did before. While accepting the card in both of your hands say thank you, or ‘Yoroshiku- onegaisimasu’.
Fourth, after receiving the meishi try to study the business card intently, even if you can’t read a single line. At the very least, remember the giver’s name. They will remember yours.
Finally, if you are receiving multiple cards at once, you may leave them in a neat stack in front of you until the end of your meeting. If not, retrieve your custom-made business card holder, and slide your new acquisition inside – carefully, like it was a piece of art.
